Job Description:
Budget Title: Senior Staff Assistant (SL-3)
Salary: $60,000 - $73,000
The Graduate School seeks a creative and forward-looking individual to implement graduate student success initiatives. This individual will play a crucial role in providing comprehensive support to graduate students throughout their academic journey. The Student Services Specialist will assist students with administrative processes, provide guidance on academic policies, assist with the management of graduate student records, including tracking degree progress, enrollment, and academic standing. This is a student-facing position that will interact with walk-ins and appointments to address graduate student matters. The individual will also play an important role in communicating campus-wide services available to support graduate students, as well as facilitate communication between students, their academic advisors, and graduate program directors. This position reports to the Assistant Dean for Graduate Student Success.
Duties will include but are not limited to:
- Handle prospective and enrolled graduate student issues/processes and provide general advising and guidance as needed
- Process enrolled graduate student forms, such as Late Add/Drop/Withdrawal, Semester Withdrawal, Request for Leave of Absence, Request for Extension to the 5-Year Limit, Request for Transfer Credit, Outside Examiner nominations and appointments, Admission to Candidacy (ABD), etc.
- Review and approval of dissertation and thesis submissions for degree candidates, including submissions to Proquest
- Assists the Office of Student Records with degree conferral each Fall, Spring and Summer
- Maintain accurate student records and data related to program progress, milestones, and other academic activities
- Prepare, send, and archive communications regarding changes to academic standing and funding eligibility
- Support the planning and execution of graduate student events, such as orientations, professional development seminars, community-building events, and social activities
- Serve as a point of contact for academic departments and other offices
- Participate in the review and editing of graduate policies/procedures and academic program requirements contained in the University Academic Guide and the graduate school manual
Requirements:
- Bachelor's Degree (or higher)
- At least 3 years of post-Bachelor's professional experience.
- Knowledge of academic information systems (Banner, DegreeWorks, Xtender, etc.)
- Experience working with confidential information
- Experience with business management tools including spreadsheets, word processing, calendar tools, and presentation software
- Ability to work on and prioritize multiple projects simultaneously
- Detail-oriented with excellent oral and written communication skills
Preferred:
- Master's degree (or higher)
- Professional experience in a college or university setting
- Experience working with academic information systems (Banner, DegreeWorks, Xtender, etc.)
- Experience working with Graduate Students
- Experience with program planning
