Description
The Finance Assistant will provide fundraising support to the finance department and senior staff, assisting in the day-to-day fundraising operations. The right candidate is process-oriented and has great attention to detail. We are looking for someone who is a highly motivated self-starter with a positive attitude, strong communication skills, and a great work ethic to join our team.
Duties & Responsibilities:
- Maintain and regularly update the campaign’s donor database (NGP), ensuring donor records, contribution history, and contact information are accurate and organized.
- Manage and maintain fundraising outreach lists, including donor, prospect, event, and stakeholder contact lists.
- Monitor donor and prospect communications to ensure timely and effective follow-up, stewardship, and relationship management.
- Track incoming contributions and coordinate prompt donor acknowledgment, including thank-you calls, emails, handwritten notes, and other donor engagement activities.
- Assist with the call time program by preparing briefing materials, donor profiles, call sheets, and tracking fundraising results and follow-up actions.
- Support the planning and execution of fundraising events, including invitation management, RSVP tracking, event logistics, donor cultivation, and travel as needed.
- Prepare donor research, meeting memoranda, briefing documents, and event materials for campaign leadership.
- Draft and distribute donor communications, fundraising updates, event invitations, and campaign accomplishments to strengthen donor engagement.
- Conduct ongoing donor and prospect research to identify new fundraising opportunities and support campaign growth.
- Assist in preparing briefing materials for meetings, events, travel, public appearances, and fundraising presentations.
- Collaborate with the Campaign Manager and senior staff on special projects and other duties as assigned to advance the campaign’s fundraising goals.
As well as key administrative and organizational support to the finance team, including:
- Maintain ownership of the campaign finance calendar, ensuring all fundraising events, donor meetings, call time, travel, deadlines, and campaign activities are accurately scheduled and coordinated.
- Assist with organizing and coordinating travel logistics, including transportation, accommodations, itineraries, briefing materials, and agendas to ensure seamless execution of fundraising and campaign-related travel.
- Monitor and manage finance department priorities, ensuring team members remain on track with commitments, deadlines, calendar obligations, and weekly work plans.
- Track and communicate key deadlines, deliverables, and fundraising milestones to ensure timely execution of campaign goals.
- Identify operational challenges and proactively recommend solutions to improve efficiency, coordination, and overall campaign performance.
- Provide ongoing administrative and organizational support to the finance team, anticipating needs and assisting with projects to advance the campaign’s fundraising objectives.
- Continuously assess opportunities to provide additional support and take initiative on projects that strengthen the campaign’s fundraising and organizational capacity.
Requirements
- Must have a positive attitude with an eagerness to grow with the team.
- Previous campaign finance experience is strongly preferred but not required.
- Strong attention to detail and organizational skills; ability to stay accountable to many competing daily, monthly, and quarterly deadlines.
- Professional communication skills, such as donor and principal management experience, are preferred but not required.
- Proficiency in Google, especially Google Sheets, Excel, and PowerPoint are strongly preferred.
- Knowledge of NGP, ActBlue, and Canva is a bonus.
- Willingness to go with the flow and pace of a competitive campaign finance operation.
- Demonstrated ability to retrieve, analyze, and synthesize information from various sources.
- Excellent research, writing, and editing skills.
- Discretion and diplomacy in handling confidential and sensitive issues.
