Job Description:
As a key member of ASU’s Learning Enterprise (LE), the Department HR Specialist you will report to LE’s HR department Manager and partner with LE’s Senior Director of Finance and Human Resources, and Chief Operating Officer. Our Department HR Specialist will work collaboratively across the Learning Enterprise to design, develop, and implement programs in focus areas that include on/offboarding, recruitment and hiring, training and development, and HR business processes. We are seeking a driven, creative, human-centered leader to drive individual and team performance, growth, trust, and belonging at LE.
This role will start as a Department HR Specialist and has significant opportunities for career growth as LE currently encompasses products and services that reach over 300,000 learners, with ambitious growth plans in the next 5-7 years. The role is based in Tempe, Arizona.
Salary: $58,000 - $62,000 per year; DOE
In this role, you will work closely with LE’s Department HR Manager and Senior Director of Finance and Human Resources. In the first year, you will:
Recruitment, Hiring, and On/off-boarding
Support Learning Enterprise to hire and support an exceptional, diverse, and values-aligned team
Coordinate and manage all pre-hire processes, including leading recruitment as the primary partner to Hiring Managers, moving applicants through the HR platform Workday, and the LE hiring process.
Serve as the key architect to review and improve the design of LE’s recruitment processes and policies.
Screen resumes and applications to evaluate candidate qualifications, experience, and alignment with role requirements.
Manage LE’s Hiring Airtable to simplify hiring tasks such as sending onboarding reminders, tracking recruitment workflows, and managing hiring and onboarding project deadlines.
Serve as LE lead of on- and off-boarding, serving as the ambassador to new hires, creating resources and opportunities for a best-in-class onboarding experience as well as a smooth offboarding experience.
Manage Articulate 360 web-based onboarding to create comprehensive onboarding training courses for full-time and part-time staff.
Other duties as assigned in the pre-hire stage, including but not limited to: lead as primary recruiter to identify source qualified candidates for priority open positions by leveraging networking opportunities and recruiting platforms such as LinkedIn, CareerBuilder, and HigherEdJobs, use HR systems and tools (e.g., Articulate and Workday Learning) to improve HR operations.
HR process management
Design and manage Airtable databases to streamline HR processes, including tracking recruitment workflows, onboarding schedules, and training completion records.
Process job data changes such as position accounting, payroll redistributions, title changes, manager/team changes, promotions etc.
Processes payroll transactions for employees paid from multiple funding sources (e.g., state, local, or grant) and oversees payroll functions, ensuring accuracy in payroll information, funding changes, and bi-weekly reviews while investigating discrepancies to ensure timely and correct employee payments.
Responsible for employee time approvals and reminders, act as payroll expert, and oversee record keeping for audit compliance reviews.
Audit payroll and timekeeping entries regularly to identify and correct errors before final processing.
Back up for for management of benefit requests (such as FMLA, Leave of Absence) and manage time reporting for employees on leave, ensuring accurate records and compliance with university policies.
Maintain organized digital personnel files to ensure records are up-to-date and ready for audits.
Coordinate all visa, H1-B, etc., application and renewal processes.
Addressed inquiries from, staff, and students regarding HR processes, payroll, benefits, and HR policies, providing accurate and timely resolutions.
Performs clerical functions with all relevant HR tools and software, including Workday, Excel, Airtable etc. for various human resources processes including form preparation, report preparation, and other related functions.
Employee experience systems and operations
Design professional development specific to LE’s organizational culture, practices and approaches (meeting structures, The Advantage concepts, etc.)
Provide support and resources to supervisors on applicable training tools and programs for their teams.
Develop and implement surveys to assess employee satisfaction and experience, utilizing tools like Qualtrics and other survey platforms to collect actionable feedback, analyze results, and identify trends to enhance employee engagement and refine processes.
Prepare and deliver routine HR data reports (headcount, turnover, etc.) for leadership decision-making.
Perform other duties as assigned to ensure the continuity of LE operations and to meet employee needs (e.g., track and maintain training records to support LE staff compliance for ASU trainings).

Work Environment
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
May be required to perform tasks in the field within and/or across University campuses.
Ability to clearly communicate to perform essential functions.
