The Workplace Services Manager will be a hands-on administrative manager and positive role model who demonstrates the ability to balance and execute both tactical and project-related responsibilities. They will work closely with the Office Director to attain office goals, develop effective working relationships with the internal client base, and implement processes/ schedules to ensure effective and efficient day-to-day operations of the office. This role will support the practice groups on ad hoc projects such as proposals and coordinating events with clients.
This position is responsible for the Bangkok office and requires knowledge of customs, language, etc. for Thailand. This position reports to the onsite Office Director and Regional Workplace Services Director. The individual in this role will be expected to be in the office 5 days/week, with occasional teleworking being acceptable, and occasional travel within Thailand and international.
Responsibilities:
Workplace Services
Daily Tasks -
- Ensure the office always remains fully supplied and equipped.
- Manage the office budget.
- Office-wide communication of office news including critical updates and support of office culture.
- Main point of contact for corporate departments for all office-related questions.
Oversee office technology and identify IT related needs and issues.
Periodical Tasks -
- Collaborate with workplace managers in the US and Internationally on office-related matters.
- Events: Planning, coordination, and execution for both internal and external focused events - in collaboration with the marketing team. Events may require after-hours onsite support and supervision.
- Vendor management: manage contract and price negotiations with all Bangkok office vendors, service providers and building management.
- Health & Safety: Ensure compliance with all local and BRG health and safety guidelines and procedures for the office.
- Responsible for maintaining the office, organization and liaising with corporate for furniture and equipment purchases.
- Maintain office-related documentation up to date for business continuity purposes.
Practice Groups and Staff
- Provide administrative and executive support directly to the CEO.
- Improve efficiency and seamless functioning of operations and support for practice needs, including any ad hoc requests.
- Coordinate with clients on administrative and operational matters.
- Schedule meetings and appointments (Meeting set-up including ordering catering and TEAMS set-up) as needed.
- Assist with billing matters (invoices, payment requests, AR/AP follow-up with accounting team)
- Provide general administrative assistance to office staff when required with travel arrangements, expense reports, meeting set-up, transport, conference registration.
BRG Corporate Coordination
- All departments: Be main point of contact for BRG Corporate and colleagues from other departments, handle ad hoc requests from legal, HQ, etc.
- Accounting: Check all Invoices and ensure they are forwarded where appropriate for payment and properly recorded.
- IT: Coordinate with IT department on all requests and office equipment.
- Portfolio: Use judgement to coordinate leasing or facilities issues as needed.
- Budgets: Determine office budgets in collaboration with the office director and manage ongoing spending.
- Budgets: Coordinate account funding (cash-flow) with finance department when needed.
HR, Recruitment and Compliance
- HR: Partner with HR to update and maintain office policies, as necessary.
- Liaise with local consultants for all payroll-related questions.
- Liaise with local brokers on insurance and benefits questions.
- Provide onsite support to recruiting, including potential review of employee contracts.
- Assist in the onboarding process for new hires.
- Ensure compliance with local labor legislation and data rules and guidelines.

- Advanced Microsoft Office skills including PowerPoint and Excel. Experience with Microsoft Teams a plus.
- Comfortable with technology, both learning new applications and being a resource in support of others.
- Demonstrate strong time management, project management, and organizational skills.
- Exhibit excellent written and oral communication skills with a confident and clear communication style.
- Ability to handle sensitive information and preserve confidentiality.
- Be open and able to collaborate with multiple stakeholders to get things done.
- Research, summarize and communicate important details.
- Be flexible and adaptable to changing circumstances and energetically embrace new responsibilities.
- Proficiency in English and Thai languages required (both written and spoken).
- Willing to work overtime occasionally, as needed.
- Bachelor's degree in any field
- 36 years of experience in office administration, executive support, or related field
- Basic accounting knowledge is an advantage
