Description
Position Summary:
This position is responsible for cash handling, payroll processing, financial reporting, property tax administration, and general accounting functions in compliance with local, state, and federal requirements. The Treasurer also provides office support across departments, serves residents and businesses, and assists with special projects as assigned.
Key Responsibilities and Duties:
Financial Operations & Accounting
- Perform daily cash handling activities, including processing receipts, balancing cash drawers, and completing bank deposits and transfers.
- Prepare monthly bank reconciliations, journal entries, and maintain the general ledger.
- Process manual journal entries and maintain accurate financial records.
- Prepare monthly financial reports for Village Council, Village Manager, SKCC Board, and the Fire Department.
- Work with external auditors during annual audits, provide requested documentation, respond to inquiries, and enter adjusting entries as needed
Payroll & Employee Administration
- Process all aspects of biweekly payroll and monthly, quarterly and annual filings
- Complete new employee onboarding, including required employment forms.
Tax Administration
- Administer all aspects of Village property tax collection, including:
- Coordinating corrections with Lenawee County
- Procuring, balancing, sorting, and mailing tax bills
- Collecting and posting tax payments daily during tax season
- Reconciling totals and completing end-of-collection reporting
- Submitting final reports to the County
- Complete monthly, quarterly, and annual filings with the State of Michigan, including sales tax and MERS reporting.
Disbursements & Records Management
- Sign checks and maintain a monthly disbursement journal for Village Council.
- Assist with insurance coverage administration and recordkeeping.
Customer Service & Office Support
- Open and close the Village office as needed.
- Answer phones, collect payments for utilities, taxes, and miscellaneous fees.
- Address resident and customer inquiries and concerns in a professional manner.
- Assist residents with permit applications and general Village processes.
- Prepare employee work orders and support daily office operations.
Additional Duties
- File parade permits with MDOT as requested.
- Assist other departments as needed.
- Complete special projects as assigned by the Village Manager.
- Perform other related duties as assigned
Requirements
Desired Qualifications:
- High school diploma or equivalent required; coursework in business, accounting, or bookkeeping preferred.
- Prior experience in accounting, payroll, or financial administration required; governmental accounting experience strongly preferred.
- Working knowledge of accounting principles, payroll processing, general ledger management, and financial reporting.
- Proficiency in Microsoft Excel and Word required.
- Strong attention to detail, organizational skills, and ability to manage multiple tasks with frequent interruptions.
- Ability to maintain a positive, professional attitude in a fast-paced and occasionally stressful environment.
- Willingness to continue learning as laws, regulations, and procedures change.
- Strong interpersonal and customer service skills with the ability to communicate effectively with the public, coworkers, vendors, and external agencies.
