Interested candidates should apply to be considered. Essential Functions These are the job duties required of the position.Essential Functions- Serves as assistant to the Department Chair and provides administrative support to faculty as needed.
- Prepares and monitors departmental funds and supporting budget-related documentation in coordination with the Chair.
- Assists the Chair is researching and preparing reports for professional (ASHA) accreditation and other university offices to include: Dean's Office, Institutional Research, Academic Affairs, and the Graduate School.
- Serves as recording secretary for department and committee meetings and prepares minutes for distribution.
- Prepares, types, and prints memos, forms, letters, requisitions, and departmental correspondence and other materials as directed using Microsoft Office and Adobe on a PC.
- Monitors and orders office equipment and supplies.
- Prepares requisitions and purchase orders, maintains ledgers, spreadsheets, and databases for departmental budgets, and balances monthly account statements for receipts and expenses using accounting software.
- Opens and routes incoming mail and distributes correspondence and other materials to the appropriate faculty and staff.
- Works closely with the Speech, Pathology, & Audiology (SPA) Graduate and Admissions Committee, The USA Office of Admissions, and the Graduate School in processing applications for the graduate program, assistantships, and tracking graduation requirements.
- Enters and prepares Personnel Action (PA) forms for Graduate Assistants.
- Tracks graduate student records, ensuring timely updates related to admission, progression, and graduation milestones.
- Maintains communication with applicants regarding required materials and application status.
- Prepares travel arrangements and reimbursement forms for faculty and staff.
- Regular and prompt attendance.
- Ability to work schedule as defined and overtime as required.
- Related duties as required.
