Reporting to the Director of Human Resources and Training, the Payroll Specialist provides payroll administration and other related assistance for the 140+ employees of Harvard Federal Credit Union. This role acts as liaison with multiple departments and offices across the University, including Harvard Human Resources, Talent Acquisition, Central Payroll, Benefits, Harvard IT, and Leaves of Absence. The Payroll Specialist's work requires a high-level of accuracy and attention to detail and plays an essential role at Harvard FCU.
Job-Specific Responsibilities:
Payroll Administration:
- Process all transactions related to hires, transfers, terminations, job changes, salary increases, bonuses, and incentive payouts.
- Review time and labor, and absence requests weekly.
- Run and audit the bi-weekly, weekly, and off-cycle payroll check registers to ensure proper payment.
- Work with the Leaves Specialist to ensure accurate time reporting for FMLA, Short-term Disability, maternity/parental leaves and workers' compensation.
- Act as Authorized Requestor for PeopleSoft security role requests.
- Train staff and managers on PeopleSoft navigation, and time and absences processes.
- Attend HRMS user group meetings to stay up-to-date on all payroll and process changes.
- Communicate important payroll deadlines and policies to all staff.
- Answer questions related to payroll, including paychecks, timesheets, and absence requests.
Reports and Audits
- Run regular reports on absence balances, job changes, overtime, and staff and position information, flagging any issues or unusual patterns for HR.
- Run analytics reports for Harvard FCU management and auditors as requested.
- Conduct the Yearly Access Review (YAR) for annual university audit.
- Support Harvard FCU management with internal, state, and federal audits by collecting requested documentation and helping to implement changes in response to findings.
- Comply with Harvard University audit requests as required.
HR Coordination
- Create and manage all staff personnel files.
- Maintain all Harvard FCU staff directories and lists.
- Submit requests for all Harvard FCU systems access updates/changes for staff.
- Collaborate with HR on payroll policy interpretation and implementation.
- Co-present at Harvard FCU New Hire HR Orientation.
- Work collaboratively with HR team on special projects, as required
- Perform other related duties and responsibilities as required

Basic Qualifications:
Basic qualifications are the minimum threshold a candidate must meet in order to be considered for this role.
- Bachelor's degree (or four years' equivalent work experience), plus a minimum of two years of Payroll/HR experience is required.

- Experience using Harvard systems (PeopleSoft, SmartRecruiters, MIDAS, QlikView) is highly preferred
- Academic administration experience a plus
- Previous Harvard experience preferred
- Standard Hours/Schedule: 35 hours per week
- Required to be onsite a minimum of 3 days per month, plus additional days as needed. May be required to work occasionally during winter break, as payroll deadlines require.
- During the initial 90-day training period, new employees may be expected to work in the office more frequently, for training and onboarding purposes.

All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
