Description
The Business Operations Manager will report to the Chief of Human Resources & Administration and will provide HR & administrative support to the Executive Leadership Team. This key individual will contribute to the day-to-day operations that support the Company located in Cambridge, MA.
Responsibilities:
HR Support:
- Assist with coordination of internal training programs
- Collaborate on the creation of policies, handbooks and training materials
- Assist with benefits administration
- Party and event planning (support HR with planning as well as employee appreciation gifts; ordering of related materials)
- Other administrative functions as required
- Recruitment activities. Onboarding and off boarding of staff
- Manage document execution through DocuSign and Box drive
- Other administrative functions as required
Office Management:
- Vendor Management (Office through Lab) – Relationship management, contracting, and cost optimization
- Management and administration of Monday.com project management dashboards
- Management and administration of Box.com account and permissions
- Assist with facility maintenance, office communication
- Manage business accounts: Vistaprint, FedEx, UPS, DocuSign, Uber
- Manage food and catering for internal meetings and social events
- Assist with management of outsourced IT
Administrative Support for Executive Leadership Team:
- Scheduling external meetings with potential collaborators, investors, advisors and support in scheduling internal meetings
- Board interaction: scheduling of quarterly BOD meetings and quarterly Compensation and Audit Committee Meetings, tracking documents following meetings, support in travel and lodging for some board members
- Management of expenses (through Expensify)
- Schedule bi-weekly All Hands meetings; reviewing and running slide decks in advance of meetings
- Executive Management Systems – Manage meetings, participants, schedule, content, issue/action tracking (Monday.com)) for the leadership team including – strategy, operations, financial, BD, product development, research
Requirements
Minimum Qualifications Required
- Minimum of 2 years of experience in an HR or executive administrative role
- Outstanding organizational skills and attention to detail
- Flexibility to work in a startup atmosphere
- Excellent oral, written, and interpersonal communication skills
- Proficiency in Microsoft Office applications, including PowerPoint, Word, Excel and Outlook
- Must be able to maintain high degree of confidentiality when dealing with sensitive client, financial, and personal information
- Strong work ethic
- Vendor management
