Description
Office Manager - Hoskins Exteriors Clarinda, IowaThis position is located in Clarinda, Iowa.
The Office Manager oversees the daily administrative operations of the business, ensuring efficiency, accuracy, and professionalism in all office functions. This role supports both management and field teams by handling scheduling, customer communication, invoicing, and general office organization.
Hours: Monday-Friday, 8AM-Noon, 1PM-4:30
37.5 hours per week
Pay based on experience: $18-$22/hr
Key Responsibilities:
- Manage daily office operations and maintain organized records of jobs, customer files, and vendor information.
- Managing and supervising office staff/receptionist
- Weekly Payroll Duties
- Answer and route phone calls, emails, and customer inquiries in a timely, friendly manner.
- Schedule estimates, inspections, and installations for roofing, siding, window, and door projects.
- Assist with creating and sending invoices, processing payments, and tracking accounts receivable/payable.
- Coordinate with suppliers and subcontractors to order materials and manage deliveries.
- Support the sales team by preparing proposals, contracts, and marketing materials as needed.
- Maintain company calendars, job tracking systems, and digital filing.
- Ensure compliance with company policies, safety standards, and licensing/insurance requirements.
- Handle basic HR tasks such as onboarding new employees and managing time sheets.
- Help with social media posts, customer follow-ups, and basic marketing efforts as needed.
Qualifications:
- Previous experience in office management, administration, or customer service (construction or home improvement industry preferred).
- Strong organizational and multitasking skills.
- Excellent communication and customer service abilities.
- Proficiency with Microsoft Office, QuickBooks, or other business software.
- Ability to work independently and as part of a team.
