Collaborates With: Contracted Chief Financial Officer (CFO) and Director of Health and Wellness
Position Summary
The Nonprofit Accounting Specialist plays a critical role in ensuring the financial health, transparency, and operational efficiency of the organization. This full-time position is responsible for managing funder reimbursements, grant and contract invoicing, donor and funder financial reporting, budgeting support, and maintaining strong internal controls. The Specialist works closely with the contracted Chief Financial Officer (CFO) to ensure financial activities are efficient, accurate, and compliant with nonprofit accounting standards and funder/donor requirements.
Key Responsibilities Funder Reimbursements, Invoicing & Donor Reporting
Prepare, submit, and track funder reimbursement requests per grant and contract terms.
Generate accurate and timely invoices for funders, ensuring supporting documentation is complete.
Monitor accounts receivable and pursue outstanding funding payments.
Prepare comprehensive financial reports for funders, donors, leadership, and the board, including reports on restricted and unrestricted funding.
Track, allocate, and report on donor-restricted funds, pledges, and purpose-specific contributions.
Maintain documentation to ensure transparency and compliance in funder and donor reporting.
Transaction Processing & Reconciliation
Process accounts payable and receivable transactions.
Record and reconcile financial transactions, including bank accounts and deposits.
Track grant expenditures and reconcile them against approved budgets.
Monitor program and grant-related expenses for compliance with funding restrictions.
Budgeting & Financial Planning
Assist in the preparation, monitoring, and reporting of organizational and program budgets.
Analyze financial data to identify trends and provide insights to leadership.
Support cash flow analysis and forecasting.
Collaborate with the CFO to maintain robust financial systems.
Internal Controls & Compliance
Assist the CFO in developing and enforcing internal controls to safeguard financial assets and ensure data integrity.
Ensure compliance with GAAP, nonprofit fund accounting standards, and funder and donor regulations.
Implement financial checks and balances to reduce risk and ensure accuracy.
Audits & Tax Support
Prepare documentation for annual audits, funder monitoring, and donor financial reviews.
Communicate with external auditors during audits.
Assist with nonprofit state and federal 990 filings and financial compliance reporting.
Collaboration & Support
Work closely with the contracted CFO to strengthen financial oversight and accountability.
Partner with program and administrative staff to align billing, reporting, and budgeting with program activities.
Respond promptly to internal and external financial inquiries.
Requirements
Qualifications
Education: Bachelor’s degree in Accounting, Finance, or related field.
Experience: Minimum 3 years of accounting experience in a nonprofit or grant-funded environment. Have been supporting audits for at least two years.
Technical Skills:
Proficiency with QuickBooks or similar accounting software.
Strong skills in Microsoft Excel and Microsoft Office Suite.
Solid knowledge of GAAP, nonprofit fund accounting, grants, and donor reporting.
Soft Skills:

Strong organizational, analytical, and problem-solving abilities.
Effective communication and interpersonal skills.
Ability to work independently while collaborating with the CFO and teams.
